This policy describes the standards we hold ourselves to when we research, write, check and update content on DataRooms.uk. It applies to every provider review, sector guide, resource article and comparison on the site. Our scoring framework is covered separately in our methodology; this page is about how the words get onto the page and how we keep them accurate.
Independence
Editorial decisions are made by the editorial team alone. No provider, partner or advertiser can buy a review, a score, a ranking position or a favourable sentence. Providers do not see our reviews before they are published and have no right to approve or change them.
The site earns money through affiliate links, as explained in our advertising disclosure. That income is kept separate from editorial judgement. Whether or not a provider has an affiliate arrangement with us has no bearing on how it is tested, scored or described, and we do not adjust the tone of a review to protect a commercial relationship.
We will cover limitations honestly, including for providers we rate highly. A good overall score does not mean a room suits every deal, and our reviews say who each room is not for as clearly as who it is for.
Who writes our content
Pages are produced by the DataRooms.uk editorial team and credited to the team as a whole. Each page passes through research, drafting, editing and a separate fact-check before it goes live. The team member who checks facts on a page is not the person who drafted it.
Sources we rely on
We prefer primary sources and use them in roughly this order:
- Our own testing. Hands-on use of the product, including setting up rooms, inviting users and working through Q&A, permissions and reporting.
- Provider documentation. Official product pages, help centres, security and trust documents, published pricing and data processing terms.
- Official UK sources for regulatory and process context: the ICO, Companies House, HMRC, the FCA, the Takeover Panel, the London Stock Exchange for AIM, the SRA, the NCSC and GOV.UK.
- Direct questions to providers where public information is unclear, with the answer recorded and dated.
We do not use star ratings, review counts or quotes from third-party review platforms, and we do not present marketing claims as fact. If we cannot confirm something, such as where a provider hosts data or whether a certification covers a particular service, we say so and tell readers what to ask instead of guessing.
Fact-checking
Before publication, the checker verifies every factual statement that a reader might rely on: features, certifications, security controls, prices, plan names, trial terms and any reference to UK law or regulation. Each fact is traced to a source from the list above. Statements that cannot be verified are removed or rewritten as questions for the reader to raise with the provider.
Prices get particular care. Most providers price in US dollars, so we show the dollar figure with an approximate sterling conversion, and we label all prices as indicative, possibly excluding VAT, and subject to confirmation with the provider.
Use of AI tools
AI writing tools help us summarise research, sketch outlines and produce early drafts. Nothing generated by a tool goes live unchanged. A human editor reworks each draft, bringing in findings from our testing, UK context and the team’s judgement, and facts in an AI-assisted draft face exactly the same check as facts in any other. Responsibility for what we publish rests with the editorial team, not with any tool.
AI tools are not used to generate scores. Scores come from our testing and the criteria set out in our methodology.
Legal and regulatory content
Our guides explain how data rooms fit into UK processes such as share sales, fundraising, takeovers and insolvency. They are general information, not legal, tax, financial or regulatory advice. Where we describe a legal requirement, we link to the official source so you can read it in full. For decisions on a live transaction, speak to your solicitor, accountant or corporate finance adviser.
Corrections
We aim to get things right first time, and we fix things quickly when we do not.
- Reporting: anyone can flag a mistake using the contact page. Please tell us the page, the problem and, if possible, a source.
- Checking: we investigate every report against primary sources.
- Fixing: confirmed errors are corrected promptly and the page’s updated date is changed.
- Transparency: where a correction changes a score, a ranking or a material fact, we add a short note on the page describing what changed.
Providers can report errors in the same way and receive the same treatment. A correction is made because a fact was wrong, never because a provider would prefer different wording or a higher score.
Updates
Data room products and prices change frequently. We re-review every provider at least twice a year, check published prices every quarter, and update pages sooner when we learn of a material change. Sector and resource pages are reviewed when the underlying rules or market practice change. The updated date on each page tells you when it was last reviewed.
