    What makes a data room cost more

    1. Months open. The single biggest factor. A sale that slips from four months to seven nearly doubles a monthly bill.
    2. Number of users. Matters most on per-user plans and when every bidder brings lawyers and accountants.
    3. Document volume. Scanned leases, title deeds and decades of board minutes add pages and storage fast.
    4. Billing model. The same deal can cost very different amounts under per-page, per-user and flat pricing.
    5. Security and compliance. SSO, document rights control and certification evidence tend to sit on higher tiers.
    6. Deal tools. Advanced Q&A workflow, bidder analytics, redaction and AI tools often move you up a plan.
    7. Service level. Managed set-up, out-of-hours support and dedicated project managers are priced in.
    8. Branding and custom domains. A branded room or custom login page is usually an add-on.

    1. Prepare before you open. Build the index and clean up documents first, so you are not paying for months of an empty room.
    2. Negotiate the extension rate now. Deals slip. Agree the monthly price for extra months before you sign.
    3. Remove duplicates and old drafts. Fewer pages lowers per-page and storage bills and makes the room easier to review.
    4. Pay only for features you will use. If you have no SSO requirement or do your redaction offline, a lower tier may be enough.
    5. Use the free trial properly. Test with real folders and an outside user before committing to a plan.

    How much does a virtual data room cost in the UK?

    Published entry plans among the providers we track start at roughly £12 to £230 a month at today's exchange rate. Quote-based enterprise rooms usually cost from a few thousand pounds to £40,000 or more per project. Your figure depends on users, documents, months open and features.

    What drives the price most?

    How long the room stays open and how it bills. A per-page plan punishes large scanned archives, a per-user plan punishes many advisers and a flat monthly plan punishes a deal that runs late. Match the model to your deal before comparing brands.

    Is VAT charged on data room fees?

    UK-registered providers add VAT to the invoice. For providers based abroad, UK businesses usually account for VAT themselves under the reverse charge. Ask your accountant how it applies to your business and whether you can recover it.

    Why are most prices in dollars?

    Many providers publish prices in US dollars or quote per project. We show the published dollar figure with an approximate sterling conversion. Your final cost depends on the exchange rate on the invoice date and any discount you negotiate.

    Can I cut costs without weakening security?

    Yes. Clean up documents before upload, open the room only when buyers are ready, negotiate the extension rate up front and avoid paying for features you will not use. Certifications, permissions and watermarking are standard in good rooms and should not cost extra.

    Do I need a data room that stores data in the UK?
